Microsoft Copilot for Accounting Teams and the Decisions That Need Human Approval

Accounting teams can use Microsoft Copilot to summarize, organize and draft work. Designated people should retain responsibility for material accounting conclusions, sensitive changes and final approvals, with the approval behavior of connected actions tested before use.

Accounting teams can use Microsoft Copilot to help summarize, organize and draft work while keeping responsibility for material accounting conclusions, sensitive changes and final approvals with designated people. A firm should define these boundaries for each workflow before enabling actions that affect clients or financial records.

The right policy distinguishes software assistance from authority to act. Routine rules-based automation may operate under approved controls; an AI-generated recommendation should not silently become authorization.

Confirm the experience and account first

“Copilot” covers multiple experiences. Available features and access to organizational content depend on licensing, application context and tenant configuration. Do not assume that a Microsoft 365 subscription provides every Copilot feature or that every employee sees the same sources. [1]

For eligible work accounts with enterprise data protection, Microsoft says Copilot prompts and responses are not used to train foundation models. Its Microsoft Copilot commitments also cover data accessed through Microsoft Graph. Organizational retrieval respects the user’s access permissions. These protections do not correct overly broad access to client folders or guarantee accurate output. [2, 5]

When web search is enabled, Copilot can send Bing a generated query informed by the prompt and, in some situations, referenced content. Bing handles these queries separately from Microsoft 365, and Microsoft’s Data Protection Addendum does not apply to them. Microsoft nevertheless states that these queries are not used to train foundation models. Review web-search settings and terms, plus enabled agents and external services, before using confidential inputs. The firm should approve the actual account, configuration and workflow. [2, 3]

Keep professional conclusions with the reviewer

Copilot can assemble information supporting a proposed classification or summarize an unexplained balance. The responsible accountant should determine the appropriate treatment, whether evidence is sufficient and whether the conclusion fits the engagement and reporting basis.

For example, a tool may flag an invoice as a potential duplicate. The reviewer still needs to compare vendor, invoice number, amount, date, credit notes and posting history. Similar wording or amounts can describe legitimate recurring charges.

Use independently checked calculations for amounts that will drive an entry or client decision. Ask for the underlying rows, formulas and assumptions. A polished explanation is not evidence that the arithmetic or source population is complete.

Control changes to records and payment details

Separate a recommendation from its execution. The workflow should identify who can approve journal entries, write-offs, payroll changes, vendor-bank changes and payment release. Higher-risk actions may need a second authorized person under the firm’s control policy.

If an integration can post or send, test its permissions, approval requirement, duplicate prevention and recovery process. A prompt that says “ask first” is not a substitute for an enforced approval step in the connected system. Verify the approval behavior of each connected action; approving a connection does not necessarily mean every later action will ask again. [4]

Review communications before they create commitments

Drafts containing accounting conclusions, sensitive employee information, deadlines or commitments require a reviewer who understands the underlying work. Check the recipients and attachments as well as the wording.

In training, use a sample draft with a deliberately incorrect date or unsupported statement. Staff should practice identifying the defect, finding the source and correcting the message. This tests whether the review works under realistic conditions.

Document who can do what

For each use case, record the approved inputs, allowed assistance, prohibited actions, evidence requirements and responsible reviewer. Include the escalation route when sources conflict or required information is missing. Recheck the workflow when permissions, agents or product capabilities change.

Frequently asked questions

Does enterprise data protection remove the need for review

No. Data protection and output accuracy address different risks. The reviewer must still verify the facts and decide whether the result is suitable for the task.

Must every automated task require a separate manual click

No. A firm can authorize narrowly defined routine automation with appropriate controls. This article recommends explicit human approval for material judgments and higher-risk actions; it does not prohibit established transaction rules.

KEY TAKEAWAY

A useful Copilot workflow separates assistance, professional judgment and permission to act. Data protection and access controls do not establish that an output is accurate or an action is authorized.
